Organise amounts from a written solar proposal

Use the provider’s own figures

If an attendance charge is already included in the base amount, do not add it again. Ask how the proposal’s lines fit together and compare amounts on the same tax basis. An allowance or unresolved item should remain identified as such in the notes.

A blank field does not mean that work is free. Obtain clarification of missing prices and scope before relying on a total. Keep the original proposal with the calculation so the number is not separated from its exclusions and conditions.

Preserve the approval record

Identify which version of the proposal was accepted and who authorised it. A revised amount should refer to the changed work it covers. If a property manager or owner makes the decision, send the scope with the total rather than forwarding an unexplained number.

After the visit, keep the invoice and completion information together. An amount in a worksheet does not establish that work was performed or that a technical concern was resolved.
